The credit card and prepaid billing methods are all automated. This means that upon renewal, our system will automatically debit money from the prepaid account or credit card provided to us.

# How to add a new payment method and Topup Account Credit

How to Add a Credit Card:
1. Log into your online account
2. Navigate to the 'Billing' tab
3. Click on 'Payment Method.'
4. After clicking on 'Add Payment Method', enter your card details and click 'Save'
If you want to remove all of the credit cards listed in your account, please contact us.
## To top up your Account Credit Balance, when in the Account Credit section, then click the topup button.
You will be asked for:

# Cancelling a subscription service

# Where to Locate Account Invoices

1. After logging into your online account, click on the 'Billing' tab in the menu
2. From there, click on My Invoices and from there you can view all invoices generated in your account

To download an invoice, simply click on the invoice and select 'Download.'
# Locating your Support Pin

A support pin is a six-digit number found in your Melbourne IT account. It is used to verify your access when you contact our customer care team. Before providing any information or making changes to your account, our customer care team will first need to confirm your access. While there are several authentication methods, the most common is the six-digit support pin.
Follow the steps below to locate your support pin.
1. Log into your online account at melbourneit.au
2. Click on your icon at the top right

3. Click on 'show pin' and it will reveal for you to read out
***Pro-Tip:*** you can click on the revealed pin to immediately copy it so you can paste it into a chat with us or email!
If you are already in the Support tab, you can view the support pin on the left hand side and generate a new one if needed.

# Service Level Delegate Access

This article describes another way to use the delegate tool. In addition to enhancing internal communication with your store Admins and staff, the delegate tool gives clients the ability to bring third parties into their account.
Here's a example of the delegate function in action:
*Sebastian* purchases a web hosting contract for two years.\
*Sebastian* adds ***WebsiteDeveloper Dan*** as a delegate to redesign his website.\
The delegate tool gives ***WebsiteDeveloper Dan*** access to the web hosting but not full access to his entire online platform.
## What can a delegate do?
Any client can invite one or more delegates to access the client-side of a product with your Upmind store. These delegates can:
* view contract product registration, renewal dates, and status
* undertake provisioning actions (e.g. log in to a hosting account, update domain nameservers)
* create support tickets in relation to the contract product
* view tickets others have created in relation to the contract product, from the point that they were added as a delegate
## What can't they do?
* Manage billing for products
* Cancel, upgrade, or modify products
* Add or remove delegates
* Edit DNS in the DNS tab for domain-only products
***Note: the delegate function does not work with one-off purchases, like Change of Registrant.***
## Inviting a delegate
To start an invitation:
1. Log in to your account
2. Click the Products & Services menu tab
3. Select a service
4. Click on the Settings menu tab
5. Click the Invite delegate button
6. Enter the email address of the person you wish to be a delegate
7. Click Send invite
***Note: To receive an invite, the delegate must have a store account.***
## Next Steps
The person you have delegated access to will receive an email message with a link to accept the invitation.
After clicking the accept link, the service will display in that person account, under the services tab. it will have a message "is a delegated product meaning your access rights are restricted to read-only."
## How to cancel their access
You can cancel or revoke the access at anytime, for example, after the website development work is completed.
1. Click the Products & Services menu tab
2. Select a service
3. Click the Delegates menu tab
4. Hover the person icon next to Accepted
5. Click Revoke access
# How to Log In

To log into your new client area, go to melbourneit.au and select "log in".

Enter your user name and password, your username is your account reference. If you're unsure what your account reference is, you can find this on the top right hand corner of any email you've received from us.
Note: your username will look like ***MI12345*** or ***MIT-123***
*Please note:* You may also use your 'domain name' or 'primary email address', however we recommend your account reference number as it is completely unique to you and is the most realisable username.
Once logged in, you will see the following tabs:

* **Dashboard** – similar to the Overview tab, it gives you services, invoices and tickets at a glance
* **Products and Services** – a full list of your domains and hosting products and services. From here, you will be able to log in to your hosting, email services as well as manage them
* **Billing** – this is where you will find all of your invoices, account credit balance, payment methods and currency settings
* **My Account** – update your contact information like name, email or phone number here
* **Support** – Raise tickets and find replies to your previous cases here
* **Place new order** – Place a new order for hosting, register a new domain name or purchase SSL certificates
# How To Recover Your Password

# Multi-Factor Authentication Guide

At Melbourne IT, we take the protection of your data very seriously and understand that the confidentiality, integrity, and availability of your data are vital to your business. With this in mind, we are pleased to announce that Multi-Factor Authentication (MFA) is now available for Console account access.
**What is MFA?**
MFA is one of the most effective tools for enhancing login security and safeguarding your business and data against security threats. Once enabled, it will require proof of identity by supplying two or more pieces of evidence (or 'factors') when logging into the Console.
One factor is something you know, such as your username and password. Other factors are verification methods that you have in your possession, such as an authenticator app or security key.
How do I enable/disable MFA for my account?
At Melbourne IT, MFA is an optional feature which can be enabled from within your account:
1. Login to your [account](https://clients.melbourneit.com.au/login).
2. Navigate to the "My Account" page and select "Security" on the left hand side.

3. Scroll down and select "enable"

4. You will be prompted download an MFA app on a device of your choosing (mobile or tablet). We recommend Authy, Duo Mobile, Last Pass Authenticator or Microsoft Authenticator.
5. Once you have downloaded an MFA app on your device, the app will ask you to 'Add an Account' and 'Scan a QR Code'.

6. After scanning the QR code in the app on your device, you will be presented with a token code. Please type this into Console MFA prompt at the bottom of the pop-up labelled 'Type your MFA code below'.
**What to do if I lose or otherwise can't access my MFA device**
Please [contact our support team](https://melbourneit.au/contact-us/) who will be happy to assist in enabling or disabling MFA. You will need to know your passphrase.
**What happens if I put in the wrong MFA code when I try to log in?**
If the wrong MFA code is inputted it's not a problem - you can try again. However if our system detects 3 incorrect attempts, this usually means someone is trying to gain unauthorised access to your account. If this happens, we will automatically lock your account. You will need to unlock your account via our [support team](https://melbourneit.au/contact-us/).

4. To update your email address or phone number, scroll down and click 'Add New' next to 'Emails' and 'Phones'

If you need to update your address or company details, you can scroll to the bottom of the page and click 'Add New' next to 'Address and Company Details.'
# Moving to Melbourne IT

Moving your hosting or domain services requires thoughtful planning and careful execution. To assist you in making this transition as seamless as possible, we’ve compiled a checklist outlining each step of the process.

**Lets go over the checklist in a bit more detail:**
**Check what you actually need to move**\
Domains, DNS, Website and Emails can all be supplied from different providers. If you are happy with one aspect of your current hosting, you are more than welcome to keep it. Just keep in mind, you will have to alter some DNS records to get things working.
**Choosing a plan**\
Once you have confirmed what you would like to host with us, it's time to choose a plan.
We have many plans ranging from a Starter cPanel, moving into Wordpress-specific plans with a special dashboard, all the way to Unmanaged servers for when you want to take complete control.\
Once you have the plan locked in, you can browse any introductory offers available and make the purchase, its at this stage you either select a domain name to be registered or enter one in that you want to be transferred to us.\
If you don't have an account already, not to worry, one is easily set up as part of the checkout process.
**DNS**\
DNS is a very important part of staying online and is very important to consider. If you have a cPanel/Wordpress or Server, you will be managing your DNS through that service. If you only have a domain name with us, you can head to the DNS tab in your portal.
**Files**\
If you have cPanel, great news, we can migrate the files for you! Once the plan is all setup and before changing name servers, please raise a ticket or give us a call to get some details from you.
If you have a different Linux based hosting service, not to worry, the process is pretty straightforward, you just need to ensure you get the databases, files, resources required for your website, then upload them to your new hosting service. Because of the file-manager upload limitations, you please use FTP clients for large files.
**Emails**\
If we do a migration from your current cPanel to ours, the emails should come across smoothly.\
If you prefer to do it yourself or have a MS365/SmarterMail/GSuite type service, you can utilise online tools that sync mailboxes or backup the email accounts to a file using an application and then importing once the accounts are setup again.
If you are keeping your current mail provider, retrieve any Zone Records (MX, authentication TXT records) that will need to be replicated.

A summary of your new client portal experience
From Friday, 4 Oct, 2024, when logging into Melbourne IT - you will be presented with our new and improved management portal. This is your client area and where you'll manage all of your products and services with us - this is also where the billing and support portals live too; all in one.
A lot of the things that you know and love about the 'Console' will still be in the same place, just presented in a faster, more convenient way.
## Logging in
To log into your new client area, go to melbourneit.au and select "log in".

Enter your user name and password, your username is your account reference. If you're unsure what your account reference is, you can find this on the top right hand corner of any email you've received from us.
Once logged in, you will see the following tabs:

* **Dashboard** – similar to the Overview tab, it gives you services, invoices and tickets at a glance
* **Products and Services** – a full list of your domains and hosting products and services. From here, you will be able to log in to your hosting, email services as well as manage them
* **Billing** – this is where you will find all of your invoices, account credit balance, payment methods and currency settings

## Domains and Services
Now that you're logged in, this is the dashboard. Let's start with your domains and services.

On this page you can see all domain names and services you have with Melbourne IT at a glance.
You will be able to manage your domain names and log directly into your hosting packages by clicking on the tab to the right of your active products.
## Managing a Domain Name

After you select "manage domain name" you can lock/unlock the domain, update the nameservers and grab your EPP Code. On this page you can also select "billing" and "settings" to view auto renew options, invoice options and cancellation options.
## Billing details

From the menu, select "billing" to view invoices, payment methods and orders. To view invoices, select "my invoices", to make changes to your payment details select "payment methods". You can also update your currency by clicking "settings".
## Account Details

On the "my account" page you can change your contact details such as name, email and phone number. On this page you can also view your account notifications. This page will also show you if the emails were sent successfully or if they have bounced/failed.

## Support
Select "support" from the menu bar.

On this page you can view all active and closed support tickets. If you need assistance with something, you can raise a ticket here by selecting "open new ticket" in the top right hand corner.

# Accessing your web site before DNS propagation is complete

DNS propagation must complete before starting to use your domain name. Read this article to learn methods for viewing your site before it completes.
After you update your domain's name server settings, DNS propagation can take 24 hours to complete. During this time, you cannot use your domain name. However, you can bypass DNS and view your web site by using a shared URL or the *hosts* file.
**Important**
Some content management systems (CMS) and web applications may not display correctly when you use a shared URL. This is because they are configured to use your domain name, which is different from the shared URL. For example, you must update two database settings every time you use a different domain name with WordPress.
## Method #1: Use the hosts file
Another method for bypassing DNS is to use the *hosts* file on your local computer. The *hosts* file contains domain name to IP address mappings. These mappings mimic the function of a DNS server, and allow you to "trick" your computer into associating a domain name with a particular IP address.
To use the *hosts* file to bypass DNS for your domain, follow these steps:
1. Open the *hosts* file in a text editor. The location of the *hosts* file depends on your computer's operating system:
* On Microsoft Windows computers, the *hosts* file is located at *%SystemRoot%\system32\drivers\etc\hosts*.
> 📘 Note
>
> * On Windows Vista, Windows 7, and Windows 8, click **Start**, search for Notepad, right-click the icon, and select **Run as Administrator**.
> * On Windows 10, Windows 11, click **Start**, type `notepad`, right-click **Notepad**, and then click **Run as administrator**.
This starts Notepad with the elevated privileges necessary to open, modify, and save the *hosts* file. Note that in Notepad's **Open** dialog, you must use the **All Files** filter to see the *hosts* file.
* On Apple Macintosh computers, the *hosts* file is located at */etc/hosts*. For example, in a terminal window
type `sudo nano /etc/hosts` to open the file in a text editor with the correct permissions.
* On Linux computers, the *hosts* file is located at */etc/hosts*.
> 🚧 Important
>
> The *hosts* file is a plain text file, so you should use a plain text editor like Notepad or nano to edit it. Do **not** use a word processor like Microsoft Word, which can add additional formatting and cause more problems than it solves!
2. When you open the *hosts* file, you should see an entry that resembles the following line:

127.0.0.1 localhost
```
3. To create a new mapping for your domain, add the following line to the file:
```text theme={null}
192.0.43.10 example.com www.example.com
```
Replace the IP address with your MelbourneIT server's IP address, and replace *example.com* with your web site's domain name. You can obtain your account's IP address by logging in to [https://clients.melbourneit.com.au/](https://clients.melbourneit.com.au/)
4. Save the *hosts* file and exit the text editor. For example, if you are using the nano text editor, press **Ctrl+O**, press **Enter**, and then press **Ctrl+X**.
> 🚧 Important
>
> If you are using macOS, you should also clear the DNS cache.
5. To test the configuration, restart your web browser and go to [*http://example.com*](http://example.com) or [*http://www.example.com*](http://www.example.com), where\_example.com\_ represents your domain name. You should see your web site's main page (assuming you have created some content).
> 🚧 Important
>
> After DNS propagation is complete, make sure you go back and remove the relevant entries from the *hosts* file!
## SSL certificates before propagation
Modern browsers increasingly expect SSL connections and generate error messages when SSL is not used. To get the best preview of your site before DNS updates, use one of the following methods. These methods only work with the *hosts* file method described above.
### Copying an existing SSL certificate
If your site currently has an SSL certificate, you can move it to your new location. To move the SSL certificate, make a copy of the certificate and the private key. It is not necessary to move files; you can simply copy the certificate and key to your computer's clipboard and then paste it in place.
### Using a self-signed certificate
If you do not already have an SSL certificate, you can create one and use it temporarily to view your site with SSL. When your site is ready to go live, you should replace the self-signed certificate with a certificate from a recognized certificate authority (CA).

# .au Domain Eligibility Complaints And Scenarios

Domain ownership of .au domain names can often be confusing and controversial. This page outlines a number of complaint scenarios to help you, our customers, understand the processes.
[The Australian Domain Name Administrator (auDA)](http://www.auda.org.au/) is the governing body that regulates and maintains policies in the .au name space. They have several policies and defined procedures surrounding complaints handling for .au domain registrations.
Below are some of the most common complaints that arise. Please keep in mind, all complaints are different and they are handled on a case by case basis.
### Trademark/Company ownership claims to domain names
When it comes to [registering .au domain names](https://melbourneit.au/domain-names/), registrations are provided on first-come, first-served basis to available applicants. Prior to the policy changes in 2002, a registered business name was required to be eligible to register a .com.au or .net.au domain name. This is no longer the case, as long as a customer has a substantial connection to a domain, along with valid registrant data, you are eligible to register any domain you wish.
Please be aware, if you hold a Trademark/Registered Business Name/Company similar to a domain name, you are not automatically entitled to register a domain of the same name. If the name was registered by another organisation before your company existed, and the other organisation is still eligible, they are able to maintain control of the domain license.
However, if you believe that the current registrant of a domain is not eligible to hold the registration, then you will need to lodge an eligibility complaint.
#### Scenario 1
*Jessica owns a business name registration for “Red Apples”. She goes to register the domain name “redapples.com.au”, but discovers that it is registered to “Sarah Smith”, using a sole Trader ABN, but trading under the name “Red Apples Design”. Jessica is upset as she feels that she should be the owner of the domain rather than Sarah.*
In this situation, Sarah is eligible to hold the registration of the domain redapples.com.au, as she has a close and substantial connection to the domain name. She was first in to register the domain, and as long as she continues to trade under the name “Red Apples Design”, she will remain eligible to hold the registration license.
Depending on the date Jessica registered the “Red Apples” domain, she may or may not be able to lodge a complaint through the .au Dispute Resolution Process (auDRP). She would need to contact auDA to determine the domain name registration date, and could then make a decision on whether to pursue her complaint further.
### Eligibility Complaints
As long as the domain registrant (A registrant is the person or company who registers a domain name. For example, Jessica Jones (registrant) registers the name jessicajones.com.au through Melbourne IT (registrar), who in turn writes the name to the central database, remains eligible to hold the registration of a domain. She is able to renew it every 2 years, and cannot be forced by another party to cancel or transfer the registration of the domain licence.
Please note, if the ABN/ACN/Registered Business Name/Incorporated Association or Trademark number used to register a domain name is cancelled, then the registrant may no longer be eligible to hold the domain licence. If this is the case, a complaint can be made against the domain name to the registrar (A "Registrar" (or "Domain Name Registrar") is an organisation like Melbourne IT or Netregistry that has control over the granting of domains within certain TLDs (top level domains, like the generic .com/.org/.net or country-specific .au, .nz etc), registrar of record (that is the company that the domain is registered through), to determine whether the registration is still valid.
Depending on the circumstances of the complaint, the registrant may be provided with a period of time to update their details. However, if the name is no longer eligible, it may be deleted from the registry and made available for public registration.
If you believe that a domain registered through Melbourne IT no longer meets eligibility criteria, you can lodge an official complaint by contacting our Customer Care team.
Once received, a member of Melbourne IT's Domains team will investigate your claim.
#### Scenario 2
*Mark noticed that the owner of timberblinds.com.au, David, is using an expired business name as his eligibility ID to support the registration of the domain name. The domain is registered through Melbourne IT, so Mark contacts Melbourne IT and lodges an official complaint.*
Melbourne IT’s Domains team review Mark’s complaint, and realise that the Registered Business Name that David was using had indeed expired. They contact David, and provide him with 14 days notice to update his eligibility details, or risk the domain name being de-registered. David responds to the request and provides an updated and valid ABN number, and the registration of the domain is updated, so that the name meets eligibility criteria. If David had not responded, the domain name would have been deleted. However, as he provided the requested information, he is able to retain ownership of the domain licence.
#### Scenario 3
*Bianca is interested in registering the domain name pinkbeads.com.au, but the domain is already registered to someone else. She looks up the registrant information on the domain via a [whois](https://whois.auda.org.au/) search, and notices that the domain registrant appears to be an individual with no connection to the name "pink beads". She lodges an official complaint through Melbourne IT, the registrar of record for the domain name.*
Melbourne IT’s Domains team review Bianca’s complaint. The domain registrant is contacted, and is given 14 days to explain their connection to the domain name. The registrant does not respond within 14 days, so Melbourne IT, unable to determine the connection between the domain name and registrant, cancel the registration licence. If the domain owner had responded within 14 days with a valid explanation of the connection, they would have been able to retain the domain licence, but because they did not respond, Melbourne IT had no choice but to cancel the domain registration. The domain name is placed in a 14 day “auDA POLICY DELETE” status, before being released back into the public pool of available domains the next business day.

### When the new rules will apply to org.au
org.au domain names created, transferred or renewed on or after 12 April 2021 are subject to the new licensing rules.
If the current licence period for your org.au domain name began before 10:00 AEST 12 April 2021, the legacy published policies in place at the start of your current licence period apply. If you renew your .au name the auDA Rules will apply.
### Changes to the org.au eligibility rules – defining a not-for-profit
To be eligible to register an org.au domain name you must be a not-for-profit organisation. The definition of a not-for-profit organisation has been updated.
This definition now contains 11 categories of eligible organisations:
* an Incorporated Association under State or Territory legislation;
* a Company limited by guarantee under the Corporations Act 2001(Cth)
* a Non-distributing co-operative registered under State or Territory legislation;
* an Indigenous Corporation registered under the Corporations (Aboriginal and Torres Strait Islander) Act 2006(Cth) and which appears on the Register of Aboriginal and Torres Strait Islander Corporations;
* a Registered Organisation that is:\
(a) an association of employers;\
(b) an association of employees (union); or\
(c) an enterprise association;
* registered under the Fair Work (Registered Organisations) Act 2009(Cth) and which appears on the Register of Organisations;
* a Charitable trust endorsed by the Australian Taxation Office as a Deductible Gift Recipient;
* a Non-trading cooperative under State or Territory legislation;
* a Public or Private Ancillary Fund endorsed by the Australian Taxation Office as a Deductible Gift Recipient;\
an unincorporated association that appears on the Register of Charities established under the Australian Charities and Not for Profit Commission Act 2012(Cth);
* a Political Party registered under the Commonwealth Electoral Act 1918(Cth) or State or Territory Electoral Act and which appears on the Register of Political Parties or as otherwise named; or\
Government, being either the Crown or a Commonwealth, State or Territory statutory agency.
### The following kinds of organisations are new to this definition:
* Indigenous corporations;
* Co-operatives;
* Registered state and territory political parties; and
* Government, being either the Crown or a Commonwealth, State or Territory statutory agency.
### Unincorporated associations
Under the auDA rules unincorporated associations are not eligible to hold org.au names. The only exception is where an unincorporated association appears on the Australian Charities and Not for Profit Commission’s (ACNC) Register of Charities.
However, registrants of org.au names using an unincorporated association as the basis for their eligibility may be still eligible for their org.au name if they meet the definition of a not-for-profit a different way.
### Who is affected by this change?
Registrants of org.au names using an unincorporated association as the basis for their eligibility (except where that unincorporated association appears on the ACNC Register of Charities).
### Actions you can take if this change affects you
There are a number of courses of action you can take depending on your circumstances. You will need to assess which is the best option for your situation.
Check if you meet another category of not-for-profit entity
You should first check whether you meet the definition of a not-for-profit entity in the licensing rules through any of the other categories, and update your registrant details via your registrar.
If you’re unsure about what kind of entity your organisation is, a good place to start is by searching for your organisation on the ASIC registers or the Australian Business Register.
Register in the asn.au space\
Unincorporated associations are eligible to register in the asn.au namespace. You may wish to consider registering a name which is the same or a similar to your org.au name in the asn.au namespace, subject to its availability.
Consider a new legal structure for your organisation\
You can consider changing the legal structure for your organisation to meet the definition of a not-for-profit entity, such as by becoming an incorporated association in your state or territory, or becoming a company limited by guarantee.
While we can’t offer advice on what legal structure is best for your situation, organisations like Justice Connect offer free advice and resources on these matters.
### Changes to the org.au allocation rules
Allocation rules determine what name you can register in a namespace and how it must relate to you as a registrant.
The rules around what org.au name you can choose have been broadened to allow for a wider range of names to be used by eligible org.au registrants.
Under the auDA rules, an org.au name must be:
(a) a match or synonym of the name of:
i. a service that the Person provides;\
ii. a program that the Person administers;\
iii. an event that the Person registers or sponsors;\
iv. an activity that the Person facilitates, teaches or trains;\
v. premises which the Person operates;\
vi. an occupation that its members practise;
b) and which that Person is providing at the time of the application; or\
c) a match of the Person’s legal name, business or statutory name or the name of the unincorporated association; or\
d) a acronym of the Person’s legal name, business name, or statutory name; or\
e) a match of the Person’s Australian Trade Mark; or\
f) a match to the name of a trust of which the Person is a trustee.
This rule replaces the ‘close and substantial connection’ rule in place in the legacy published policies.
### Who is affected by the change in allocation rules?
This rule applies to not-for-profit entities wishing to register, renew or transfer names in the org.au namespace.

## What is auDA?
The [Australian Domain Administrator (auDA)](http://www.auda.org.au/) is a legal Australian body responsible for the administration of .au domain names. It is the policy authority and self-regulatory industry body for the **.au** domain space. It is formally endorsed by the Australian Government.

When you register a domain name, two roles are usually recorded:
### Registrant (Entity)
* The entity that the domain name is registered to
* Can be an individual, business, or organization
**IMPORTANT**: As there is different eligibility requirements based on your TLD, please be advised of the criteria that must be met below;
* com.au/net.au - the registrant must have an Australian presence and be a commercial entity.
* org.au - the registrant must be a not-for-profit organisation.
* asn.au - the registrant must have an Australian presence and be a not-for-profit entity or unincorporated association.
* id.au - the registrant must have an Australian presence and be a natural person – that means an individual person, **not** a company or organisation

# Eligibility for .au Domains

To register a .com.au or .net.au domain, you need to be able to prove that you are doing business in Australia. This usually takes the form of providing an ABN, ACN, ARBN or Australian-registered trademark.
While you can obtain a sole-trader ABN quite easily, there are no options available for private individuals who are not in business to own .com.au/.net.au domains. The .com part of the domain is shorthand for "commerce" and while the generic .com domains allow anyone to register them, the .au Domain Administration (auDA) has reserved these spaces for commercial enterprises.
Similarly, to register a .org.au or asn.au domain, you need to prove that you are a not-for-profit body such as a sporting club, charity and similar.

# Transferring Ownership or Updating Eligibility ID for .AU Domains/Change of Registrant (COR)

When we transfer a .AU to a different registrant entity or simply want to update the ABN we go through the process called Change of Registrant (COR). A COR is the process of transferring the domain name ending in .au from one party to another. A transfer of ownership involves complete re-registration of the domain for 1 year with the receiving party/individual, who will need to meet the eligibility requirements to hold the registration of the domain. An administration fee applies for every Change of Registrant (COR).

## How to request a Change of Registrant
1. Log in to your Melbourne IT account that holds the domain name.
2. In the top right of the dashboard, click **Place new order**:

3. In the left-hand category list, click **Domain Services**.
4. Find the **.AU Change of Registrant** product and click **Add to basket**:

5. On the product page, enter your domain name in the **Hostname**\* field, then click **Add to basket - A\$250**:

6. Review your order at checkout and click **Place order & pay**:

7. Once payment is processed, an email with the subject line **"Change of registrant for \[your domain name] requires your confirmation"** is sent to the current registrant contact. They'll follow the link and provide the new registrant's email address. The new registrant is then emailed to complete their details. **The COR isn't finalised until both parties have completed their steps.**

## COR FAQ:
### Is there any additional cost?
There is an administrative fee of \$250AUD for the Change of Registrant (COR). This includes the change on the registry and an additional year to any full-year term you have left on your registration period. So if you have 2.5 years left and do a COR, it will be registered for 3 total years once complete.
### What if I just want to update the ABN?
For updating the registrant entity attached to the domain, the COR process applies as the domain licence is reissued with the update. You may keep the registrant contact details, the same before and after the process.
### Who can I transfer the .AU domain to?
This depends on your extension so please see the specific eligibility details for your domain name. As an example, .ORG.AUs must go to a not-for-profit ABN/ACN, while .COM.AUs just need a valid ABN or ACN that has a connection to the domain name.
### Can you just update my registrant details?
In a case where a domain name is registered incorrectly to an ABN not owned by the true/intended registrant of the domain, it is possible to request a correction to registrant information without needing to re-register the domain for 1 year and going through the COR process. These are assessed on a case-by-case basis. For this request, we may require the following documentation:
* Proof of original payment for the domain e.g. a copy of the paid invoice for this domain from the company acting on behalf of the intended registrant in the name of the intended registrant
* Photo ID of the individual who will become the Registrant Contact following the update
* A signed letter of explanation from the requestor including the correct ownership information
In cases of human error during the submission of the registration application, such as mis-type or spelling error, please contact us with the correct information.
### Can I renew my domain name?
If your domain is currently registered with an invalid Registrant Entity/ABN/ACN we will not be able to renew your domain name. We may be able to use what you have paid for the renewal toward the update, so please contact our Customer Care team.
# What is the life cycle of a .au domain name?

When a .au domain name is registered, it can be transferred between registries immediately (unlike GTLD domains, which have a 60 day embargo period).
An .au domain can only be renewed when it is within 90 days of it's expiry date. When the domain is renewed, 1-5 years are added to the existing expiry date - if my domain expired on January 1 2030 and I renewed on October 1, my new expiry date would be January 1 2031.
You can change the registrant (ABN/ACN/business entity) of your .au domain name during it's lifespan. If you do so, a new licence is issued in the name of the new registrant for one year. This means that the if you were to transfer the ownership of a domain expiring (for example) March 1 2033 on January 1 2029, the new expiry date would be January 1 2030.
When an .au domain expires, it can be renewed for 30 days after expiry. There is no redemption phase on .au domains - after the 30 days the domain status changes from "Expired" to "Pending delete". This lasts 24-48 hours, after which the domain becomes available to be registered by the public again.

# Auto renewal for Domain Names

## What is Domain Auto-Renewal?
Melbourne IT provides an "auto-renewal" feature to automatically renew your domain before it expires. This helps ensure your domain, along with any related services such as your website or emails, stays active without interruption, preventing it from being registered by someone else. By default, auto-renewal is enabled for all domains unless you switch to manual renewal.
## How Does Auto-Renewal Work?
Auto-renewal charges your primary payment method and renews your domain 7 days before its expiration date.
You’ll receive an email reminder 33 days before the renewal (40 days before your domain expires) to give you plenty of time to make any changes to your account. The email will also inform you of the renewal term (usually two years).
Once your domain is renewed, you'll get a confirmation email. If there’s an issue with your payment, we’ll notify you by email, and you’ll have 7 extra days to complete the payment to prevent any disruption in service.
*Note: Cancelling auto-renew after a renewal has been processed does not qualify for a refund. But don't worry! We'll email you with plenty of notice to turn-off auto-renewal should you decide to renew your domain manually or allow it to lapse*
## How to Manage Your Domain Auto-Renewal Settings
To modify your domain's auto-renewal settings, follow these steps:
1. Log into your online account.
2. Select 'Products & Services' from the menu.
3. Choose 'Manage Domain Name' for the domain you want to update.
4. Go to 'Settings.'
5. Scroll to the 'Auto-Renew' section to turn auto-renew on or off.
**Cancelling a Domain/Domain Deletion**
We are unable to delete domains, however we can set the domain to not renew. This will allow them to lapse, expire and then be deleted. You can also transfer the ownership of a domain to another party at any time.
# How Do I transfer a .co.uk domain?

Unlike .com/net.org domain names, .co.uk domains do not have an auth code/EPP code/domain password. Instead, transfers for these domains are handled using a system unique to the domain space.
Each registrar has an IPS-Tag denoting its identity. To move the domain from one registrar to another, this tag must be changed by the current registrar.
To transfer a .co.uk domain to Melbourne IT, contact the current registrar and have them change the Tag to ours (MELBOURNE-IT). When this is done, contact our customer care team (via call, chat or case) and let us know the contact details to use on the domain.
To transfer a domain away from Melbourne IT, contact our customer care team (via call, chat or case), have your new IPS-Tag ready for us to update. Depending on the gaining registrar, the transfer could happen automatically once the IPS-Tag is updated.

Country-code top-level domains explained
Country coded top-level domains (ccTLD) are generally used by or reserved for a country. These domain spaces are either restrictive or non-restrictive, depending on the governing policies of each extension. In particular, the .au domainspace is heavily regulated and has many policies enforced where registrants must comply with to be eligible.
In other circumstances, ccTLD domain names are used for other purposes. For example the .tv domain space represents the country Tuvalu and is non-restrictive. Typically the .tv domain space is registered by registrants from the media industry.

# Domain Passwords/EPP Codes/UDAI

When you intend to transfer your domain name you need to acquire your domain password. They can be regenerated as needed and can easily be found within your customer portal at anytime. Please follow the below steps to retrieve it.
1. Log into the portal at melbourneit.au
2. Head to the Products and Services tab to find the domain in question
3. In the Manage your domain name section you will find the button to "Get EPP Code"
4. The code will popup, allowing you copy and record the code
***Note: Different registrars may call this code different names!***
.CO.UK Domains
.CO.UK domains have a slightly different process for transferring and do not have regular EPP codes. Please follow the below steps to transfer a .CO.UK domain name:
1. Retrieve the IPS-TAG from your new registrar
2. Contact our support team via case, chat or call with the new IPS-TAG
For transferring your .CO.UK to us, please use the IPS-TAG *MELBOURNE-IT*

# Cancelling Service After Domain Transfers

### ***Aren't my domain name registration and hosting subscription linked? Why doesn't cancelling one automatically cancel the other?***
Your "Domain name registration" and "Hosting subscriptions" are two distinct services provided by Melbourne IT. To clarify, we have outlined what each of these services are and why we keep them separate:
### Domain names
Domain name registration is the acquisition of a **Country Code (CC)** or **Generic Top Level (gTLD) Domain Name** (better known as a URL) for use on the **world wide web (www)**. Melbourne IT registers domains in accordance with the rules established by the appropriate domain registration authorities ([ICANN](http://www.icann.org/), [auDA](http://www.auda.org.au/), etc). A domain name may include the following features:
* **The domain name** the name of an internet domain that may be used to establish an identity or web presence for the domain owner.
* **The name server** delegates the domain to a hosting provider.
* **The zone records** A, CName, MX, TXT or SPF records used to delegate domain requests to a hosting server IP address.
The delegation of domain names to any or multiple hosting services is at the discretion of the domain name owner. Note: When transferring a domain name to another registrar, the Name Server or Zone records are not automatically changed, and hosting is **not** automatically cancelled.
### Hosting
Web hosting or email hosting services are tangible products independent from the domain name, because you can host your website and your domain name separately. So what does your web hosting entail?
* **Web hosting** - is the provision of digital storage space on a Melbourne IT owned and managed server. The provision of this space and features is dependent on the subscription type (e.g. a *cPanel Hosting* product).
* **Email hosting** - is the provision and management of emails specifically destined for a previously established email account on the domain name (e.g. a *Cloud Webmail* product)
All files, websites or emails stored on the hosting server are accessed via a domain name using Name Servers or Zone records. Melbourne IT cannot make assumptions about any customers web hosting requirements, and web hosting is not automatically cancelled or suspended when re-delegating a domain name to another registrar. As a result, you will need to cancel the two separately – keeping in mind that you must back up all files, websites and emails.
You might also need to re-delegate your name servers to point your domain to the right hosting. This is because if you had hosting through Melbourne IT in the past but have moved it, you likely have your domain still pointed at our name servers.
### ***Ok, so I want to cancel my hosting services too, how do I do that?***
If you wish to cancel any subscription services, including hosting, which currently exist for your domain name under Melbourne IT, please cancel it within your account.
All cancellation of services are subject to the Terms and Conditions of the subscription.
Note: Before cancellation, customers should ensure they have backed up all hosted files.
# Domain Privacy

## What is Domain Privacy?
When you register a domain name, your registrant details (such as name, email, phone number, and address) are stored in the public WHOIS database. Domain Privacy Protection (also known as WHOIS Privacy or Private Registration) is a service that replaces your personal details with generic contact information, helping to protect your privacy from spam, fraud, and unsolicited contact.
However, the availability of domain privacy varies depending on the type of domain (TLD) you register.
### Domain Privacy for .AU Domains
Due to auDA’s policies, domain privacy is not available for .AU domains. This includes all .com.au, .net.au, .org.au, .id.au, and other .au extensions. According to auDA’s licensing rules, the registrant information of a .AU domain must remain publicly accessible to ensure transparency and accountability.
While you cannot enable WHOIS privacy protection for .AU domains, you can take steps to minimize exposure of personal information:
* **Use a generic contact name** – Instead of displaying an individual’s name (e.g., “John Smith”), you can use a role-based or business title, such as “Domain Manager”.
* **Provide a business or generic email address** – Instead of a personal email (e.g., [john.smith@gmail.com](mailto:john.smith@gmail.com)), use something more neutral, like [domains@yourcompany.com](mailto:domains@yourcompany.com).
* **Use a registered business address** – If you are concerned about privacy, consider using a business address instead of a home address.

### Domain Privacy for Other TLDs (.COM, .NET, .ORG, etc.)
For most other domain extensions (TLDs) such as .com, .net, .org, .info, and many country-code TLDs, Domain Privacy Protection is available. This service helps:
* Mask your personal information in public WHOIS databases
* Reduce spam and unsolicited contact
* Prevent domain-related fraud and identity theft
Please note, there is no domain privacy available for .US domains. Be sure to check your specific domain extension for your eligibility for Domain Privacy
### How Does Domain Privacy Work?
When enabled, your domain’s WHOIS record is updated to show proxy or registrar-provided contact details instead of your own. For example:

While Domain Privacy is not available for .AU domains due to auDA regulations, you can still take measures to protect your information by using generic contact details. For .COM, .NET, and other domains, Domain Privacy Protection is available and highly recommended for securing your personal data.
# What is the life cycle of a gTLD?

Generic Top Level Domains (gTLDs) currently managed by Melbourne IT include: .com, .net, .org, .biz and .info domains.

* **Renewal Process:** Domain renewal reminders are sent before and on the expiry date. On expiry date, **CLIENTHOLD** status is added to the domain, stopping it from resolving any DNS records.
* You are then given 30 days past the expiry date to renew. Failure to renew will result in us cancelling the domain name from the registry, which sends the domain name to **REDEMPTION** for 30 days. While in Redemption, the domain can be recovered (For an additional fee that we pay the registry).
* After 30 days in **REDEMPTION**, the domain name enters **PENDINGDELETE** for 5 days (domain cannot be recovered from us at this time) before being deleted from the registry completely and being made available for re-registration. The chances of re-registering are very slim due to the domain name aftermarket/speculation on expired domains.
* **Deletions:** If a client wants to delete a domain name they must provide a written request to us on an authenticated support case. The domain name will be deleted from the .com registry and will enter the **REDEMPTION** status then **PENDINGDELETE** as per gTLD expiry cycle.
# My Domain Is In REDEMPTION Status! What Do I Do?

When a generic Top Level Domain (gTLD) name (.com, .net, .org, .biz, etc) has expired for more than 30 days, it is automatically assigned a **redemption** WHOIS status for another 30 days. During this period the current registrant (owner of the domain) still maintains the option to renew the domain. A domain may be recovered from redemption at any time during this 30-day period. A fee will apply, which also includes the first year of renewal. This fee is collected by Melbourne IT on behalf of the registry. Should a domain not be recovered from redemption, it will be deleted from the registry and become available for new registration.

**Note:** Melbourne IT subscription services, such as web hosting or email hosting, don't automatically terminate on domain name expiration. Customers are required to [cancel any services](/account/billing/how-to-cancel-subscription-services) that are no longer needed on a given domain name.
### Do not gamble on lapsing your registration to avoid Redemption recovery cost
It is becoming increasingly common for domain names to be backordered, which means that your expiring domain name could already be scheduled for registration by another person. Domains are commonly registered the instant they become available by "domain monetisers" (people who make money by buying and selling domains), who then charge the original domain owner an exorbitant price to regain control of the domain.
In light of this increasing trend, **customers wishing to keep a domain that has entered the redemption period should submit a redemption request rather than wait for the domain to be deleted**. We can't guarantee that the domain won't be registered by another party when it becomes available, and the redemption charges are likely to be much less than the costs asked by a new registrant.

## What is iCANN?
ICANN is the body responsible for the administration of gTLD (Generic Top Level Domain Names).
The Internet Corporation for Assigned Names and Numbers (ICANN) is responsible for managing and coordinating the Domain Name System (DNS) to ensure that every address is unique and that all users of the Internet can find all valid addresses. It does this by overseeing the distribution of unique IP addresses and domain names. It also ensures that each domain name maps to the correct IP address.
ICANN is also responsible for accrediting the domain name registrars. "Accredit" means to identify and set minimum standards for the performance of registration functions, to recognise persons or entities meeting those standards, and to enter into an accreditation agreement that sets forth the rules and procedures applicable to the provision of Registrar Services. # Whois Data Validation FAQ

### My domain has been suspended, what do I do now?
You must verify your contact details. If you cannot locate the original validation emails sent to you, you can contact our Support team and they can resend the emails for you.
### How do I get my approval email resent?
To resend to the domain contact email address contact our Customer Care team who can resend manually.
### Do I need to validate my .com.au/.net.au/.org.au/etc domain registration?
No. This is an ICANN policy - AU domains are regulated by auDA who do not require this.
### What happens if I don’t approve the email request?
Your domain is at risk of being suspended if you do not validate your contact details before 15 days from the request date.
### The validation emails are going to spam, how do I fix this?
You will need to put [support@melbourneit.com.au](mailto:support@melbourneit.com.au) in your trusted email address list, also known as a whitelist.
### Why are you making me approve these requests?
ICANN have brought in this policy to reduce fraud on domain registrations and increase the validity of publicly available Whois data.
### Do other registrars have the same requirements?
Yes, all registrars that are accredited with ICANN are required to have a similar policy.
### Who is ICANN?
ICANN is the Internet Corporation for Assigned Names and Numbers who manage registrars for gTLD domains.
### What domains require the approval for registration, transfer and update?
Only gTLD domains require the contact validation. No other domain extensions are affected.
### Where does the reseller required “Registrants and Benefits and Responsibilities” link have to be placed.
The link must be placed on your website. Placement is not set by the policy but it must be visible by your customers.
### I don’t sell domain should I put the “Registrants and Benefits and Responsibilities” link on my website
The link only needs to be displayed for Resellers that actively sell gTLD domains
### I have a whitelabel with you, are you going to add the link?
The link has been placed in our default whitelabel setup files. You will need to update your domain-names.php file with the latest version.
### If the address does not exist on google maps what should I do?
Our process for validation will always allow a customer to complete a manual address entry which will be sent to our staff for validation.
### In regards to the ICANN email validation what happens if a domain has privacy enabled?
Our internal system stores the email address of the contact regardless of the privacy product. This is done so we can still contact the owner for renewal, validation or service critical notifications.
### How does this affect customers who have supplied a P.O. Box for the address which has no street name?
This will fall under the manual validation process, as Google cannot validate PO boxes.

Domain names are registered on a first-come, first-served basis. As long as the registrant of the domain is eligible to hold the licence (if they meet all the requirements), then they can keep that name.
You can attempt to contact the owner of the domain name licence, enquiring whether they wish to transfer it to you, however they are under no obligation to do so.
**Note:** Melbourne IT can only provide you with a domain name registrant's contact information as detailed on the public record.

# How do I register a domain name?

So, you’ve decided on a domain name and want to purchase it. That’s great news and it’s an easy process. If you are still undecided, here are a couple of points to consider:
Ideally your domain name will reflect your businesses name, trading name or product. A large proportion of your customers may guess your domain name and type your business name or product name straight into their browser. rather than searching for you through a search engine.
The best domain name you can have is one that is most easily identifiable and memorable for your customers.
## Is it easy to spell?
If you have an business name with unusual spelling it may be wise to register common misspellings of your name as well and simply redirect the traffic to your main web site address e.g. 'quantas.com.au' for 'qantas.com.au', 'vodaphone.com.au' for 'vodafone.com.au'.
## Is it easy and short to remember?
Sometimes it may be a better strategy to use an abbreviated version of your name or initials e.g. 'commonwealthbank.com.au' and 'cba.com.au'
## Is it easily differentiated from similar business/product names?
If your business or product name is very similar to another company's, you need to choose a website address that won't confuse your customers. If you do not have a well known brand or product then a generic domain may be the best choice for you e.g. 'melbourne-plumbing.com.au'.
## How will customers most likely try to find you?
In many cases, your customers may know your products or nickname better than your business name so that may be a better choice e.g. 'termdeposits.com.au' or 'usedholden.com.au' or 'cheapcourier.com.au'.
## Where are your primary markets?
If a substantial proportion of your current or prospective business comes from 'specific' national markets, you should consider registering domain names in those markets:
* .au - Australia
* .nz - New Zealand
* .uk - United Kingdom
* .cn - China
* .sg - Singapore

To register a domain name:

To manage your domain name follow these steps:
1. Log in to your online account
2. Navigate to the 'Products & Services' tab in the menu bar

## Overview
The overview section allows you to manage your domain settings including locking, updating nameservers, modifying registrant contact details. If you wish to view your Domain Password for Change Of Registrant or transfers, click on Get EPP Code.

## Billing
The billing section gives you a subscription breakdown and shows invoices and credit notes. From here, you can also issue the next invoice.

## Settings
The settings section will allow you to turn off auto renew, change billing method and billing contact details. It will also show the next renewal invoice date.

1. Log in via melbourneit.au
2. Select the domain name you want to make changes too
3. Below 'manage your domain name' select 'Update Registrant'

# ICANN Registration Data Policy changes 2025

ICANN (the Internet Corporation for Assigned Names and Numbers) is introducing a new Registration Data Policy that comes into effect on August 21, 2025. This policy helps ensure that domain registration data complies with global data protection laws.
Depending on your domain settings, you may be affected by these changes to the Registration Data Policy.
## Legal ownership
One of the changes in the new Registration Data Policy affects legal ownership of domains. Specifically, the entity in a domain contact's Organization field is now considered the legal owner of the domain.
Therefore, if your domain's registrant contact specifies an organization, you should review this information as soon as possible. To do this, follow these steps:
* Log in to the Hosting Panel at [https://clients.melbourneit.com.au/login/](https://clients.melbourneit.com.au/login/)
* In the left sidebar, under Products & Services, click Domains
* On the Domains page, click the domain you want to configure.
* Click Update Registrant:
* Review the information in the "Registrant Organization" field
If you want an individual listed as the domain owner, delete the information in the Registrant Organization field. Make sure the Registrant Name field is correct for the owner's name.\
Alternatively, if you want the organization to remain as the domain's legal owner, confirm that the information in the Registrant Organization field is accurate and complete. Make sure you remove any personal information from this field, such as your name.\
To save your changes, click Submit.
## WHOIS information
By default, your contact details (including the organization name, if specified) are not published in public WHOIS lookup results.
If you prefer this information is made public, please open a support ticket at [https://clients.melbourneit.com.au/login/](https://clients.melbourneit.com.au/login/) and we will assist you.\

# I’ve Registered The Wrong Domain! What Do I Do?

Once a domain name registration has been requested, Melbourne IT contacts the **applicable internet domain name registry** to determine if the site is available, and then registers the domain on the behalf of the customer (known as the **registrant**). Provided the information appears correct, the registry will lock the domain to the registrant, according to the registration time. **e.g.** ([.com.au are valid for 2 years](https://melbourneit.au/legals/registration-agreement/)). This process happens automatically according to the established rules of the applicable registry.
Unfortunately, the registration process cannot determine if the spelling of the domain was intended or not. In fact, many customers deliberately misspell a domain name to cater to the spelling abilities of a wide range of internet users, on top of registering their own accurate domain name.
Therefore, due to the nature of domain name registrations, refunds for incorrectly registered domain names cannot be considered and registrations cannot be reversed. This policy is also included in the Melbourne IT [Terms and Conditions](https://melbourneit.au/legals/universal-terms-of-service/) and customer are advised to be certain of their domain name purchases, during the registration process.
In any such case where the domain name was incorrectly registered, you will need to submit a completely new registration for the correct domain name.
### Under what conditions will Melbourne IT offer a refund?
The only circumstance in which Melbourne IT will [refund](https://melbourneit.au/legals/) a registration fee is if the registration was performed by a Melbourne IT representative and was mistyped by them.

# Moving Your Domains To Melbourne IT

* Cybersquatting: Registering a domain name with the bad faith intent of profiting from the goodwill or reputation of someone else's trademark, brand identity, company name, or personal name
* Domain Taste-Testing: Registering a domain name for a short period of time to determine its profitability, and then having it deleted it for a refund
* False Contact Information: Intentionally entering in false, misleading or inaccurate contact information when registering a domain name
* Copyright Infringement: Using a domain name to host copyrighted material without permission from the copyright owner
* DNS abuse: a broad term used by auDA that covers the misuse of a domain name
**What happens after I report a domain name policy breach?**
Our Admin and Billing team reviews these reports of domain name policy breaches and if there is evidence of infringement they will take action to inform the appropriate regulatory body and authorities such as ICANN (The Internet Corporation for Assigned Names and Numbers) and auDA (au Domain Administration). If required, they will communicate this breach to the domain owners and any impacted parties.
# Email sending restrictions

* The Cloud Hosting Smarthost service is the service customers use when sending emails from our Cloud Hosting website servers (such as when online contact forms are used)
**What happens if you reach the hourly/daily email sending limit**
Depending on the service you are using, you will get one of two types of messages if you try to send out more emails than the server allows you to. The error messages look like this:

# How to - Backup with Outlook

We recommend customers back up their emails regularly. The following instructions apply to Microsoft Outlook.\
Consult your help file for any issues related to your specific email client or contact a local general-IT professional.
***Note: Outlook 2024 (new) no longer supports exporting to a file.***
To back up emails to a new Microsoft Outlook PST file:
1. Open Microsoft Outlook
2. Click File from the menu bar and select Open & Export
3. Click Import/Export
4. Select Export to a file, then click Next
5. Select Outlook Data File (.pst), then click Next
6. Select the mail folder you want to back up and tick the box Include subfolders, then click Next
7. Click Browse... to choose where to save your backup on your device and name the file
8. You can create a password to lock this file or click OK without creating a password to skip it
9. Click Finish
To import a backed-up file into Microsoft Outlook:
1. Open Microsoft Outlook
2. Click File from the menu bar and select Open & Export, click Import/Export
3. Select Import from another program or file, then click Next
4. Select Outlook Data File (.pst), and then click Next
5. Click Browse... to locate and select the backup .pst file, then click Next
6. If you created a password on this file, enter the password and click OK
7. Select the root folder (e.g. Mailbox - MyName) and select the Include subfolders checkbox
8. Click Finish
# How to change Outlook settings for Cloud email

If you have been recently migrated there is a good chance you'll need to change a few email settings. Please use this guide to modify an existing mailbox setup in the email client Outlook.
The guide follows settings for a POP configuration which is the most common type of email setup, however if your interested in using an IMAP setup please follow the guide, but refer to the table at the bottom of this article for settings pertaining to IMAP.
**1.** Open Outlook\
**2.** Click file in the top left hand corner

**3.** This will open the Account Settings Dialog\
**4.** Select your desired email address and click 'Change...'

Once you have completed the above steps, you will see a screen similar to the one below. Below this screenshot, you will find a table containing all of the required information. Please use this table, to fill out the fields as per our screenshot.

Once you have inserted this information, please click on **More Settings**, as highlighted in the above screenshot. This will open up a new window. Click on the **Outgoing Server** tab, highlighted in the below screenshot.
As per the below example, tick the box marked **My outgoing server (SMTP) requires authentication**, and select the bullet point **Use same settings as my incoming mail server:**

Once you have done this, please click on the **Advanced** tab, this will then switch to a screen similar to below. Please ensure the ports are set to 110 (for Incoming) and 587 (for Outgoing) as per the below example:

After you have done this, click **OK** to go back to the main settings screen. You can then click **Test Account Settings** to double check everything is OK, or just click **Next** and then **Finish**.
# How to - iOS and iPadOS mail app

Before trying to setup your email account, ensure that you have:
* An active email service, like MS365 or cPanel
* Your email address is created and you know the password
* If needed, you have the incoming and outgoing settings. For MS365, you wont need this as it will be setup as Exchange.

**Step 1**
Tap the Settings app icon and head to Mail, then Accounts

**Step 2**
After tapping Add Account, you'll be presented with different email providers.
* If you have Microsoft 365, tap Microsoft Exchange and follow the prompts
* If you have cPanel or Cloud tap Other

**Step 3**
Enter in your name, email address, password and description

**Step 4**
Enter in the email settings specific for your email service.

**Step 5**
Once it has verified the settings, it will ask you what information is to be pulled from the server. The available options will depend on the type of email service.

**Step 6**
Open the Mail app on your iPhone or iPad and ensure that you are able to send and receive.

# How to log into webmail

**cPanel and Cloud Hosting Webmail**
1. head to webmail.yourdomainname (replacing yourdomainname with your domain name)
2. Enter in your username and password
3. Click Login
You can also get to your webmail by logging in and following these steps:
1. Entering in your username and password at melbourneit.au
2. Find the domain and manage services
3. For Cloud, click Email in the left column. For cPanel, log into the cPanel
4. Find your email address and select login or check mail
**For MS365 email services, simply head to outlook.office.com.**

Step 1\
Open System Preferences and navigate to Internet Accounts

Step 2\
Click Add Account
For MS365 mail accounts, select Exchange and simply enter your email address, password and if you have one setup, your MultiFactor Authentication Code from your connected device. Skip to step 5 after following the prompts.
If you have cPanel or Cloud, get your settings ready and click on Add Other Account and then select IMAP.

Step 3\
Select Mail Account and enter the details as you have them:\
**Name** - this can be your name, it will be shown in areas like System Settings and Mail.app\
**Email Address** - the email address you wish to add\
**Password** - the password for the email account\
**Then Click Sign In**

You will be then have to enter the incoming and outgoing server settings, these are generally mail.youdomain and then click sign in again.

Step 4\
Specify what things you wish to sync with the server, in this example it is both Notes and Mail

Step 5\
Open Mail.app and check that your emails are populating. Depending on the size of your current inbox, this may take some time to sync with the server.

Once you have your Outlook open, select add account and enter in your email address.

Once you click connect, select what type of email service you are adding.
* If you have Microsoft 365, select Microsoft 365 and follow the prompts then skip to step 5
* If you have cPanel or Cloud email service, please select IMAP

Step 2\
Enter in your email address and click Continue

Step 3\
If presented, type in or copy the server settings from the Email Settings support article and click Continue


Step 4\
Outlook will continue through the setup questions. This is your chance to read and agree to the terms, change the display language and if applicable, agree. You can choose to customise language and privacy settings for Outlook (New) during these steps.
Step 5
Once the setup is complete and the window closes, check the main screen of Outlook. You may see an initial test email automatically sent by outlook. If you already have a lot of email in your webmail, it may take some time to download them all, but this will depend on your internet connection.

# Moving Your Emails to Melbourne IT

Upon your request, we can migrate your cPanel-hosted emails to a cPanel with us.\
We just need your active log in details for your current cPanel.
If you have a MS365/SmarterMail/GSuite/Personal email, you may have to complete the migration yourself. There are several ways to do this, such as using an application like Outlook to create a .PST file, or macOS Mail.app to create a backup file. Once backed up, you can sign out and sign back in using the same app and import that file.
You can also utilise online tools that sync mailboxes. This does mean you need to have the new inbox setup and login details (username and password) for both the current and new accounts. We have included a link in the tools section.

# My e-mails have been blacklisted

**Overview**
The majority of e-mail providers today will use a type of DNSBL (Domain Name System-based Blackhole List) to prevent spam from affecting their users, while this helps keep your inbox clear it can affect you if you (or someone using the same mail IP) ends up getting your mail IP added to a blacklist.

**Getting Support**
When you have been added to a blacklist, e-mail you send to a company using that blacklist should be bounced back to your inbox, in this case you will need to provide our [support](https://www.melbourneit.com.au/contact-us/) with two main pieces of information:
* The error message contained in the bounce back e-mail
* The headers for the bounce back e-mail
Providing this information helps us determine if one of our servers has been blacklisted and start the process of having the IP removed from blacklists.
**Note**: If you are using a mail IP not owned by ourselves we will not be able to assist with removing it from a blacklist, you will need to contact the owner directly (usually your ISP or another mail provider). Our support will be happy to assist with determining if you are using one of our mail IPs.
If you did not receive a bounce back but your e-mail was not received by the recipient, it's possible the mail was picked up by a spam filter. However if you still think your mail has been blocked, please contact [support](https://www.melbourneit.com.au/contact-us/).
**Error Message**\
When you receive a bounce back e-mail, please look through the message for an error message with a 3 digit code (such as 550, 554) formatted similarly to this example:

The error on the last line contains both the IP the e-mail was sent from and the reason why the e-mail came back to you, when logging a case with [support](https://www.melbourneit.com.au/contact-us/) feel free to provide the whole bounce back message.
**E-mail Headers**\
While you have the bounce back e-mail open, please follow the steps on our article regarding [viewing e-mail headers](http://support.melbourneit.com.au/articles/help/How-to-find-email-headers) to gather the header information. The entire header will need to be provided when logging a case with support.
**Public Lookup**\
If you're looking to check for yourself if your IP has been blocked or are looking for an update on the delisting process, you can check the IP in your bounce back e-mail against public lookup tools, some popular ones are:

# My email disk space is full. What do I do to fix it?

Receiving an error message advising that your disk space is full indicates one of two things. The first possibility is that one or more of your users has incorrectly configured their settings so as to preserve a copy of every email sent to them on the server. The second possibility is that your usage has grown to exceed the set limits of the account - either because you have a large number of users or because each user is receiving a large number of emails.
If you are able to access webmail, you may be able to manually clear the mailbox. See our article on how to access webmail.
If this works, it is also suggested that you log into your control panel as the administrator and check the settings of each user. There are options regarding how long emails are kept on the server after being delivered to the email client which may prevent this becoming an issue in the future.
If you are unable to clear the inboxes via webmail, please contact our hosting department. We will be able to, in the first instance, temporarily increase your storage limit in order for you to follow the steps above. However, if this problem has arisen in the past, we will insist that you upgrade your plan to one with a more appropriate storage limit.
# How to add your Professional Email to Apple Mail on a Mac

10. Select the apps you want to use with this account and click **Done**

# How to Reset Password for Professional and Business Email Accounts

# Professional Email Migration Tool

As part of your Professional Mail service, you gain access to the easy to use migration tool.
1. Log into melbourneit.au client area and then manage your Professional Mail

2. Head to the settings section via the top menu bar

3. Head to the Connectivity section in settings and find the migrate button on the right

4. Select the type of mail box you wish to transfer from

5. Input the settings as given by your previous email service provider

6. Once you hit the start button and the settings are correct, the migration will start. You can track its progress as the data is imported. How long this process will take will depend on how any emails you have!
#### If the migration takes longer than expected, you can continue to enjoy your Professional Mail in the meantime. Also keep in mind, the type of items available for migration rely on the service you're migrating from. The tool will also not migrate any items that are not allowed by the previous service provider.
# Webmail login

Webmail allows you to access your email accounts through a web browser such as Microsoft Edge or Google Chrome. The main advantage to checking your email via a web browser is there is no need to install or configure any email software on your computer. It also means you can check your emails on any computer, laptop, or smartphone you use around the world.
### Cloud Webmail
To directly access webmail on Cloud Hosting:

2. Type in your log in details
3. Click **Login**
If your domain points to the Cloud name servers you can visit [http://webmail.your-domain.com.au](http://webmail.your-domain.com.au) and enter your email address and email password. Lastly, to access Cloud webmail from within your console account, follow the below steps:
1. Log in to your Melbourne IT account
2. Click **Manage** next to your domain

# Managing DNS in cPanel or Wordpress Hosting

## Manage zone records in cPanel
You can add, edit, and delete zone records in cPanel.
1. Log in to cPanel
You can log in to cPanel in your Melbourne IT account by clicking **Manage** on the **Overview** page and then under **Logins** click **cPanel Login**
2. Under **Domains** click **Zone Editor**

3. Next to the domain click **Manage**

4. You can now **Edit**, **Delete** or **Add** zone records

6. Under **Type**, click the drop-down menu and select the record you want to add

7. Under **Name**, enter the **Valid Zone Name**
8. Under **Record**, enter the record (this will be different depending on the type of zone record you have selected)

# Understanding DNS

When you type in a domain name, it has to connect with your web hosting or email service. For this to happen, the domain name must be registered and pointed to the correct servers, which occurs through the Domain Name System (DNS). The Domain Name System translates hostnames such as [www.melbourneit.com.au](https://melbourneit.au/) into IP addresses, which are assigned to servers, that hold data information such as a website or email service.
The diagram below depicts this process:

In order for a domain name to find its corresponding website or email service, it must be delegated to a name server. Every name server contains a zone file, which contains zone records. These are used to translate domain names into IP addresses, which represent the computer servers that host your website or email service.
### **Why isn't the domain name I'm typing in connecting to a website?**
There are several reasons why a domain name isn't connecting to a website or email service. These can include:
* The domain name has expired
* The domain name doesn't exist/has been misspelled
* The domain name is delegated to a name server that doesn't hold accurate zone files
* The domain name is pointed to the correct service but something is wrong with the service
For a domain name to open a website, all three parts (the domain, name server/zone records and the website/email service) must be functioning correctly and connected to one another.
### **My domain name isn't loading my website, help!**
If you are currently experiencing some issues with your domain name and you believe it may be DNS related, follow the steps below to ensure everything is setup correctly.
1. [Perform a Whois lookup against your domain name](https://whois.melbourneit.com.au/).\\
* Has it expired?\\
* Who is the Registrar?\\
* Is it delegated to the correct name servers?
2. If it's delegated to the wrong name servers, [modify your domains name servers](/hosting/dns/managing-dns-in-your-client-area).
3. Double check that your zone file has accurate zone records.
If you're unsure of what the problem might be, don't hesitate to contact our support team, who will be able to investigate your issue further.
### **What does each zone record do?**
For an email or website hosting service to function alongside a domain name, the domain name requires a zone file. Within your domains zone file, there are several different kinds of zone records and each record serves a specific function. Below is a table describing each type of record that exists within your domains zone file and how you can use them. You do not need to add all of these to your domain for it to work, however you may find you need to add extra records later down the track.

IPv6 IP numbers look something like this: 3ffe:1900:4545:3:200:f8ff:fe21:67cf. They were introduced when the internet ran out of IPv4 combinations. |
| CNAME | CNAME records (also called Canonical records) are simply alias records that point to domain names, rather than an IP address (as A records do). They are usually used to point a domain to a service, like Tumblr, Gmail or WordPress, where user accounts are sub domains or directories of the service. When users change the IP address associated with their A record, all CNAME records that point to that A record update automatically. |
| MX | MX records are used to direct a domain name to an email exchange server. MX records must always point to domain names which belong to another zone record and not an IP address. The IP address is always resolved by the A Record. |
| TXT | TXT and SPF zone records allow the owner of a domain to specify which IP addresses are allowed to send emails using their domain. |
| SRV | An SRV record is a specification of data in the DNS, defining the location of a server for specified services. For more information, [click here](http://en.wikipedia.org/wiki/SRV_records). |

# How can I make my website more secure?

Hacking is often opportunistic and driven by "easy targets". Therefore, it is important to take precautions to secure your website and other online services to make it as difficult as possible for hackers to access your data.
Here are some ways you can protect your website.
## Keep your software up to date
Software code can contain flaws that can be exploited maliciously. However, by ensuring that you are always using the most up-to-date version you are taking advantage of the continued vigilance of the software creators in terms of identifying and removing such issues. You can search for known vulnerabilities in software in the [National Vulnerability Database](https://nvd.nist.gov/vuln/search#/nvd/home?resultType=records). Your best bet is to follow the security lists and announcements for the software you’re using to run your website, and always stay up to date on the latest stable versions.
## Limit access
It's important to limit access to the back end of your site to a "need to know" group. You can actually create the site in such a way that access to processes is restricted. It's common practice to harden or lockdown, the access to only the resources that need access. The Web is chock-full of hardening guides, like this one if you’re [running a WordPress site](https://wordpress.org/support/article/hardening-wordpress/). You should try to harden your site on all three levels: the operating system, the web server, and the web application itself.
## Make your passwords strong
We all know how difficult it's becoming to remember the seemingly endless list of passwords we require to operate online. But it's important to remember that an insecure password is like leaving your front door open and your wallet on the table. Make sure you’re not using the default password and chose a password that is difficult to guess. If you’re logging in over an insecure protocol like HTTP or FTP, then your password is sent “in the clear”, making it easy to intercept, especially over public Wi-Fi networks. Yes, it might be convenient to update your website from an airport lounge or from a coffee shop, but it’s become far too easy to get your passwords compromised in such places, avoid it where possible.
## Monitor your site
It's easy to assume that everything on the site is running smoothly, but how often do you check it? The very last thing you want to hear from a customer is that your site has been compromised - if something happens, it's best that you know about it first.
Your site could also have been exploited to host malware and viruses without looking like anything is wrong at all. To help with those really difficult cases where your site was hacked but does not appear hacked, [use Google Safe browsing to detect the hidden malware on your page](https://transparencyreport.google.com/safe-browsing/search).
## Backup your site
Sometimes the best course of action, if your site has been compromised, is to adopt a restore a backup version that you know is clean. To make this viable, you need to make it a part of your regular maintenance process to create a backup version of the files, content and database.
If you find that your site has been compromised and you cannot clean the site (a web developer can help with this), the best course of action is to take down the current version, revert to a backup and then spend some time looking over the server logs to work out how the weakness was exploited. You can then make corrections to your software and site structure to prevent this from happening again.
## If you find your site has been attacked, you should consider taking the following steps:
* Reset your control panel password
* Contact your web developer and discuss the situation - they will check the logs to determine how the site was hacked and make changes as required

FTP short for File Transfer Protocol is a method of transferring files from one host to another. In most cases specifically the Web. It involves you uploading your site to Melbourne IT’s hosting servers. ## How do I connect to FTP?
Firstly you will need a FTP client. Whilst there are many different FTP clients we recommend using FileZilla. It’s a free open source FTP client.
## How do I download FileZilla?
1. Go to the [FileZilla project page](https://filezilla-project.org/).
2. Click on Download FileZilla Client
3. Select ‘Download Now’
4. You may need to click ‘Show additional download options’ to see versions of FileZilla for other operating systems.\\
## How Do I Find my FTP Details?
Finding your FTP details is a tad different for cPanel & Cloud. Please follow the instructions pertaining to your hosting plan.
### Cloud
1. Log into your MyAccount
2. Under Manage Services, click View Webhosting Services
3. On the next page, click on the domain name’s Cloud Hosting product
4. On the next page, click Manage Service
5. Now you’re in The Console.
6. In The Console click on Cloud Hosting\
If you scroll down you will see an area labelled FTP details. Below that your FTP account is displayed. You will need to click ‘Show’ next to your password to see it. In FileZilla for the Host field you can always use **ftp.partnerconsole.net** or alternatively you can also use **ftp.your-domain.extension**
After you have connected to your Cloud Service via FTP you can simply start uploading files.
### cPanel
1. Log into your MyAccount
2. Under Manage Services, click View Webhosting Services
3. On the next page, click on the domain name’s cPanel Hosting product
4. On the next page, click Manage Service
5. Now you’re inside The Console, select cPanel from the left hand navigational menu.\
Here you can see your cPanel server, FTP username & password. For FileZilla you can either use **ftp.your-domain.extension** or your cPanel Server address.\
Once you have connected navigate to the public\_html folder. The public\_html folder is the root directory for your website. Any document you upload here will be visible to the web.
### Windows 2012 Cloud Hosting FTP details
1. Log into your MyAccount
2. Under Manage Services, click View Webhosting Services
3. On the next page, click on the domain name’s Cloud Hosting product
4. On the next page, click Manage Service
5. Now you’re in The Console.
6. In The Console click on **Windows Hosting** on the left hand option.\
If you scroll down you will see an area labelled FTP details. Below that your FTP account is displayed. You will need to click ‘Show’ next to your password to see it. In FileZilla for the Host field you will need to use the Hostname as **bne3ftp01.server-web.com** using Port **22** .
After you have connected to your Windows 2012 Hosting Service via FTP you can simply start uploading files.
# How do I upload (FTP) my website?

To upload files to your web hosting you will need an “FTP Client”. The one we recommend is called Filezilla – a quick Google search will take you to their site where you can download the program.
Below you will see some step-by-step instructions on how to upload via FTP. You can also upload the files one at a time through the control panel, but that is a slower process:
1. Make sure you have followed the instructions in the welcome email to activate your hosting account, and you have waited 48 hours for it to be created
2. Open **FileZilla**
3. Select the **Host** text box. Enter the Host Name (eg. your-domain-name-here.net) or your IP Address
4. Select the **Username** text box. Enter the **Username** from your Hosting Account
5. Select the **Password** text box. Enter the Password from your Hosting Account
6. Click the **Quick Connect** button
Note: FileZilla will proceed to to log you into the server. If you are successful, it will show you directory listings. If you are unsuccessful, please double-check your hostname, username and password.
Note: The left side shows your local files on your computer and the right side shows the files on the hosting server
1. On the right side double click on the **www** folder
2. Then double click on the **htdocs** folder
3. Once you have located your website files on your computer, click and select all the website files and folders that have to be uploaded
4. Right-click the highlighted files and select the **Upload** menu option
Note: If there is a file on the hosting server with the same name as a file that you are uploading, it will prompt you to overwrite the old file with the new file you are uploading - click the OK button if this appears
1. While your website files are uploading to the hosting server, you will be able to see the upload progress in the bottommost window pane in FileZilla
## Uploading content using the Control Panel
To upload your content via the Control Panel, please refer to the below instructions.
1. Log into your Control Panel.
2. Once you have successfully logged into your Control Panel, under **Utilities and Files** click **All Files**.
3. In the directory, locate and click **www**
4. Click on **htdocs**
Note: All web files should be uploaded into this directory.
1. In the top right corner, click **Upload File**
2. Browse your hard disk and locate the file you wish to upload and click Save.
Note: You can only update one file at a time using the Control Panel. Using this method is not advisable if you have lots of files to upload. An FTP program can upload your files simultaneously.
# How to back up your website?

As a website owner, Melbourne IT recommends you always keep your own backups. It’s always good to have something you can fall back on if there is an emergency. A few examples, let’s say you make a change to your site and everything breaks. Simply revert back to the backup copy you have, or if your website is hacked.
In this article, we will take a look at backing up a basic HTML website & then look at backing up a database-driven website, specifically a WordPress website as it is a popular choice of Content Management System (CMS) for our customers.
### Backing up a basic static website.
Firstly, you’ll need an FTP client. We cover FTP in another article, you can refer to it here ([How do I upload and download files via FTP?](/hosting/how-do-i-upload-and-download-files-via-ftp)). Think of FTP as a way to connect to the server your website is on. You’ll need to log in using [ftp.yourdomain.com](ftp://ftp.yourdomain.com/) and your FTP username and password. After you have connected to Melbourne IT’s server, you will see a list of files that you have hosted with us You can simply select them all, right click and download a copy to your machine.

We recommend you do regular backups, especially if your website data is dynamic. Getting into the habit of doing weekly or monthly backups is good practice. If your website is your main source of income or important to your business, protect yourself by ensuring you have a copy of everything.
A good way to back them up is to put them into a folder or even archive them naming them with the date of the backup. For even more security you can place these files in various locations such as an online cloud storage solution (iCloud, One Drive, Dropbox, Google Drive), or a USB or external hard drive.

### Backing up a WordPress website.
If you have a WordPress your website runs use a combination of static pages and a database. You can simply follow the steps in our article above covering how to back up a basic static website and then follow the instructions below. Just like we used FileZilla to connect to our web server we’ll use another client to connect to our database.
We are going to use phpMyAdmin which is a web client installed on all Melbourne IT Linux-based plans. In your Cloud hosting or cPanel control panel. Under the Cloud hosting or in the cPanel interface tab click on Database. Simply scroll down and click ‘Administer’ on the database you wish to backup.

Once you are inside of phpMyAdmin you will see a list of tables in your database. Click on the Export tab.

Here under the export tab, you can now export your database. Exporting it as an SQL file is fine as you can reimport it as an SQL.
Now if you’ve backed up your static pages and database, you have a full copy of your WordPress site.
### Backing up another CMS or database-driven website.
Backing up another CMS such as Joomla, Magento, Drupal and others is the same process or very similar to the WordPress website. Simply back up your static website using an FTP client & then connect to phpMyAdmin and backup your MySQL database.

You can check your registrant information, like ABN or ACN via a WHOIS lookup (whois.auda.org.au).

*We would like to alert you to a recent phishing scam identified by auDA that is targeting .au domain registrants via email.*
Scammers are posing as auDA employees and sending emails to registrants, asking them to click a link to confirm their contact details to retain their .au domain name license.
Please be aware of emails that claim to be from auDA containing the subject field: **"Please confirm\[domain name] domain name ownership, with the registrants domain inserted."**
auDA has issued a public statement on their [website](https://www.auda.org.au/statement/scam-alert-email-scam-targeting-au-domain-name-holders) to inform registrants about this scam and has provided links to additional information and support resources regarding scams. The ACCC’s Scamwatch has also been notified.

# Moving your Website to Melbourne IT

DNS is one of the most important things to consider to minimise downtime and ensuring that the change to MelbourneIT goes smoothly. There is the option to only use your MelbourneIT hosting for the website itself, and host DNS/Emails externally. Check within your hosting for the correct A Record (IP address) to use with your DNS host.
If you have purchased a cPanel service and want to use us for DNS, you can move the records onto the cPanel with us, then when you are ready delegate your domain to our default name servers:

Many domain name TLDs lock the domain upon transfer/after a change to the contact information so you may not be able to update where the domain is delegated to right after.

If you have had a cPanel previously, great news, we can migrate the files for you! Once your new plan is all setup and before changing name servers, please raise a ticket or give us a call to get some details from you.
If you have a different Linux based hosting service, not to worry, the process is pretty straightforward, you just need to ensure you get the databases, files, resources required for your website, then upload them to your new hosting service. Because of the file-manager upload limitations, please use FTP clients for large files.

# How to redirect your domain to another website using cPanel

To redirect your domain to another website using cPanel's redirection service, follow the below guide.
1. [Log in to cPanel](/account/management/how-to-log-in)
2. Under **Domains,** click **Redirects**

3. Under **Type**, select **Permanent (301)** or **Temporary (302)**
* *Permanent (301)* — Use this option if you are permanently redirecting your website
* *Temporary (302)* — Use this option if you are temporarily redirecting your website

4. Under **https?://([www](http://www).)?**, select the domain you want to redirect or select **All Public Domains** to redirect all of the domains in your cPanel account

5. To keep things simple, leave the / (forward slash) section blank as this will redirect your entire domain to another website.
If you only want to redirect a particular page of your domain's website, enter the folder/file into the **/** (forward slash section)

6. Under **Redirects to**, type in the web address of the website you want your customer to be taken to when they search your domain name
you can redirect using http\:// or https\:// or ftp\://

7. Under **[www](http://www). redirection:**, select the option that fits your needs
We recommend **Redirect with or without [www](http://www).** as this will redirect both your domain.au and your [www.domain.au](http://www.domain.au)

8. You can leave the **Wild Card Redirect** unticked
If you want to redirect all files in a directory to the same filename in a new directory, then you should choose the Wild Card Redirect option. For instance, if you have enabled Wild Card Redirect and domain1.au redirects to domain.au, then someone searching "[https://domain1.au/pic.jpg](https://domain1.au/pic.jpg)" will be redirected to "[https://domain.au/pic.jpg](https://domain.au/pic.jpg)."

9. Click Add
You have now redirected your domain name

**How do I report abuse?**

Some examples of abuse include:
* Website Abuse: Website abuse refers to any malicious activity that is performed on a website. Some examples of website abuse include malware injection, defacement, phishing, spamming, and illegal content distribution
* Malware Injection: Malware injection involves adding malicious code into a website to infect the devices of visitors with malware
* Email Abuse: This include spamming, phishing, spoofing, and malware distribution.
* Phishing: Phishing is a form of fraud where a cybercriminal tries to trick someone into providing sensitive information, such as usernames and passwords, by impersonating a trusted organisation
* Spamming: Spamming refers to sending unsolicited messages or advertisements. It can be used to spread malware, scam people, or advertise illegal products or services
* Website Defacement: Website defacement involves changing the appearance of a website without authorization from the owner of the site
We recommend you checking who provides the hosting for the domain first by doing WHOIS and DNS checks as you contact the host of the files or email addresses, not just the registrar for the domain.
**What happens after I report abuse?**
Our System Administrators will investigate all reports of abuse and take appropriate action to stop it (including identifying suspicious files and removing them, updating passwords, suspending services, etc). We may contact the owner of the reported domain, website, or email stating that they need to take immediate action to stop the abuse and take precautions to prevent it from happening again. They must reply with a written confirmation that they have taken action, otherwise, their service will be suspended. However, in some cases, we may suspend the service immediately. We may not update you with the outcome of the investigation.
# Can one SSL cover multiple domains?

Should your business need to secure multiple domain names or sub-domains, you might be able to achieve security using a single SSL. A Subject Alternative Name (SAN) Certificate secures multiple domain names on a single certificate. In most cases, a SAN certificate can secure up to 20 domains, however the domain names must point to the same hosting environment or the same IP address (normally used in a Shared Hosting environment).
Similarly, should you need to secure every sub-domain running off a single domain name, you can purchase a wildcard certificate.
# External hosting SSL Setup

If your domain is hosted elsewhere, you can still purchase an SSL from Melbourne IT and set it up on your server. The guide below is intended to help you with setting up an SSL on a third party server. While we have made every effort to make this guide both comprehensive and concise, because we will not have access to the server itself in the way we would if it were ours, there may be occasions when you need to ask the host from whom you hire the server space for clarification. This is only likely, however, if they are running an unusual server configuration.
Most hosts will, like Melbourne IT, provide a front-end user interface. There should be an option marked “SSL” and within this, an option to generate a CSR. When you select this, you will be asked to enter some details about the company – it’s important to note that these must match the details visible in the public whois lookup.
You will now see a block of text beginning with “---BEGIN CERTIFICATE REQUEST---“ and ending with “---END CERTIFICATE REQUEST---“. This is your CSR.
This is pasted into the enrollment email you receive from the certificate provider and sent back to them. They will then validate your CSR (see article), after which you will receive a email from the certificate provider asking you to give final confirmation to the certificate.
Once this is done, you will receive an email (usually to the technical contact address of your domain) containing the actual certificate. When you receive this, log into your hosting controls and look for a link to “Install SSL”. This will usually be in the same area as the “Generate CSR” link.
## Generating a CSR using Apache OpenSSL
The below instructions may be useful if you run your own server array:
1. Use the SSH terminal client to log into the server
2. At the prompt, type 'openssl req -new -newkey rsa:2048 -nodes -keyout server.key -out server.csr' where “server” is the name of the server.
Entering this command will begin the process of generating two files: your “private key” file for the decryption of your SSL, and the CSR (Certificate signing request).
When you are prompted for the Common Name (domain name), enter the fully qualified domain name for the site you are securing. If you are generating an Apache CSR for a Wildcard SSL Certificate your common name should start with an asterisk (such as \*.example.com).
You will then be prompted for your organisational information, beginning with geographic information. There may be default information set already.
3. Open the CSR file with a text editor and copy and paste it (including the BEGIN and END tags) into the DigiCert Certificate order form.
4.Save (backup) the generated .key file as it will be required later for Certificate installation.
## Installing an SSL on a third party Apache server
Once you have generated the CSR, you will need to download the intermediate certificate from the provider. (See the links below). Once you have done this, please follow the steps below:
### For Apache OpenSSL
1. Copy your SSL certificate from the order fulfillment email or log into your GlobalSign Certificate Center account and download it. Paste it into a text editor. Save as "mydomain.pem."
2. Copy "mydomain.crt" and "intermediate.pem" to the directory in which you plan to store your certificates.
3. Open your "httpd.conf" file with a text editor. Please note that some installations keep the SSL section separately in the "ssl.conf file." Locate the virtual host section for the site that the SSL certificate will secure.
### Your virtual host section will need to contain the following directives.
* SSLCertificateChainFile – This will need to point to the appropriate intermediate root CA certificates.
* SSLCertificateFile – This will need to point to the end entity certificate. This is the certificate you have named “mydomain.crt.”
* SSLCertificateKeyFile – This will need to point to the private key file associated with your certificate.
4.Save the changes to the file and quit the text editor.
5. Restart Apache
## For Apache v2.x
1. Download the appropriate root certificate and save it in a text editor as "gs\_root.pem."
2. Download the appropriate intermediate certificate(s) and save it in a text editor as "intermediate.pem".
3. Copy your SSL certificate from the order fulfillment e-mail or log into your GlobalSign Certificate Center account and download it. Paste it into a text editor. Save the file as "mydomain.crt."
4. Copy “mydomain.crt” and “intermediate.pem” to the directory in which you plan to store your certificates.

# Initial Troubleshooting for Website Errors

The first step is to ensure that the domain name is not expired and the hosting is not suspended. It could also just be your browser or internet connection. To be doubly sure you can also check if the website is down for everyone or just for you. You can do this by visiting a website like downforeveryoneorjustme.com and entering the URL of your website.
Once you have confirmed that there is an issue, it is time to investigate the cause. It could be a programming error, DNS problem, expired domain or even hardware related. We will be able to help with ensuring that the server side is operational and working as expected. For coding-related issued we recommend contacting a website developer.

## Common Reasons for Website Downtime
1. ### Coding Error
If your website has been recently built or updated, there may be a coding error present. Websites function with thousands of lines of code, meaning even a errant full stop or semi colon can cause issues.
To weed out errors, test every piece of code thoroughly before it goes live to fix potential issues. Keep detailed records of changes and previous outages to identify errors. Ensure your processes and policies are regularly updated and hire professionals where possible to prevent this from happening. As always, we recommend having backups of every stable version of your site at all times and in offline and online locations.
2. ### Outdated Hardware Problems
One reason for the downtime of your website is outdated hardware. Servers are a key part of your website infrastructure and any disruption can lead to downtime. This is especially poignant when you have a VPS service as you are in control of the server. To prevent hardware failures from causing you downtime, contact us to ensure that you are on the latest hardware and what your upgrade options are.
3. ### DNS Issues
DNS is the system that keeps the internet working, and Issues with a domains records can prevent a website from loading. DNS maps a domain name with an IP address, and it’s critical for website uptime. If you are hosting your website external to your DNS provider, ensure that you get the correct zones and check them with a program like Terminal or website like whatsmydns.com to check that they are resolving.
5. ### CMS Issues
If you are an advanced user and use a CMS(Content Management Systems), the plugins, extensions, themes, integrations and other tools to provide extra features and functionalities can also cause issues. If you are going live with a new update, have your website developer on standby and consider having building it first in a staging environment.
7. ### 404 Not Found
A 404 error occurs when your web server cannot find a page that has been requested.\
In the case where a page no longer exists, it means the page has been removed.You can be sure to check if it has nothing to do with your hosting account being suspended, then inspect your files. If you have a team or multiple people that work on your website or have access to your client are, ensure that no-one else has made updates to the website files.
8. ### 502 Bad Gateway
Gateway errors do not normally mean the website is down, but some part of the internet is either not working or too busy to deal with your request.
Use a Traceroute command and the domain of your website to further trace the location of the issue or contact your hosting company if the issue persists.
9. ### 503 Service Unavailable
This error tells us that the web server is too busy to deal with your request. If you are on a shared hosting package then it could be that one or more websites that share your server are super-busy and there is no bandwidth left for your website. This error should go away after a while, but please contact us to migrate to a newer server as most new plans come with unlimited bandwidth.
10. ### Security Warnings
This is normally caused either by the absence of an SSL certificate on the web server or when an SSL certificate has expired. If there is no valid SSL certificate and the website is trying to deliver content via https, the browser will stop the website from sending data and show a warning.
